Sharp Log ("we", "us", or "our") is a personal AI assistant that helps you capture, process, and track your workday. This Privacy Policy explains what information we collect, how we use it, and your rights. By using Sharp Log — on web, iOS, or Android — you agree to this policy.

1. Information We Collect

Account Information

When you register, we collect your name and email address. If you sign in with Google, we receive your name, email, and Google account identifier from Google's authentication service. We do not store your Google password.

Uploaded Content

Sharp Log is designed to accept anything you upload — including:

  • Photos of handwritten notes
  • Audio recordings (phone calls, voice memos)
  • PDF and text documents
  • Meeting transcripts
  • Typed or pasted text

This content is processed by AI to extract structured data (tasks, decisions, people, deadlines). The content you upload may contain sensitive personal or business information — you control what you upload.

AI-Extracted Data

From each upload, we extract and store: time-bound tasks, key decisions, people to connect with, agenda items, open items, project tags, and a full-text summary. This extracted data forms your personal tracker and is stored in our database.

Usage Data

We collect standard technical information such as device type, operating system, and app version. We do not use third-party analytics SDKs.

2. How We Use Your Information

  • AI Processing: Your uploaded content is sent to Google Gemini (via Google's API) for extraction. Gemini processes audio, images, PDFs, and text natively — no separate transcription service is used.
  • Your Tracker: Confirmed extracted items are stored in your personal database and displayed in your daily tracker across all your devices.
  • Push Notifications: If you enable notifications, we send reminders for time-bound tasks at the times specified in your uploads.
  • Authentication: Your email and password (hashed) or Google ID are used solely to authenticate you.

We do not use your data to train AI models. We do not sell your data. We do not use your data for advertising.

3. Audio Recordings — Special Notice

Audio files you upload (phone call recordings, voice memos) are sent to Google Gemini for processing. After you review and confirm the extracted data, the raw audio file is not retained permanently on our servers. Only the structured data you confirmed and the text summary are stored long-term. Audio files are deleted after processing is complete.

Because a phone call is a one-time event, we strongly recommend reviewing the AI-extracted summary carefully before confirming — the confirmation screen is the only checkpoint.

4. File Storage

Uploaded files (photos, PDFs, documents) that you confirm are stored in Cloudflare R2 cloud storage. These files are accessible via time-limited signed URLs generated on demand when you view your history. Files are stored permanently unless you delete your account.

5. Third-Party Services

Sharp Log uses the following third-party services to operate:

  • Google Gemini API — AI processing of all uploaded content
  • Google Sign-In — Optional authentication
  • Neon (PostgreSQL) — Database hosting for your tracker data
  • Cloudflare R2 — File storage for uploaded documents and images
  • Google Cloud Run — Backend server infrastructure

Each of these providers has their own privacy policy and data processing terms. Your uploaded content passes through Google Gemini's API as part of normal operation.

6. Data Retention

  • Account data: Retained for as long as your account is active.
  • Tracker data (tasks, decisions, people, agenda items): Retained indefinitely to support long-term AI memory and chat retrieval.
  • Uploaded files (photos, PDFs): Retained permanently to support history view and AI re-generation.
  • Audio recordings: Deleted after AI processing and confirmation. Not stored long-term.
  • On account deletion: All your data — tracker entries, uploaded files, and account information — is permanently deleted.

7. Data Security

  • All communication between the app and our servers uses HTTPS/TLS encryption.
  • Authentication tokens are stored securely — in the iOS Keychain on iPhone/iPad and in Android EncryptedSharedPreferences on Android.
  • Passwords are stored as cryptographic hashes — we cannot read your password.
  • Access to your data requires authentication. There is no public access to your tracker or uploaded files.

8. Your Rights

You have the right to:

  • Access the data we hold about you
  • Delete individual tracker items (tasks, decisions, people, agenda items) directly in the app
  • Delete your account and all associated data — contact us at the email below
  • Export your data — contact us to request a copy

9. Children's Privacy

Sharp Log is not intended for use by anyone under the age of 16. We do not knowingly collect personal information from children.

10. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date at the top of this page. Continued use of Sharp Log after changes are posted constitutes your acceptance of the updated policy.
